BOARD POSITIONS
PRESIDENT
Who says it only must be only one
person? Let’s make it 2 people! Split the duties and have a partner in
crime. And with a Vice President that
makes THREE!
As
President - this position is what you make of it. Kersey Creek has AMAZING PTA Board and we
have the support of awesome parents, teachers, and staff. To keep things running “as is” will take
approximately 2hrs a week. More when an
event is coming up like Open House, Back to School or the Holiday Market.
Characteristics:

Responsibilities:
•
Preside at general PTA meetings and executive
board meetings
•
Serve as the primary contact to the principal
and represent the PTA at meetings of other groups

Serve as an ex-officio member of all committees

Retain all official records of the PTA
Typical Monthly Tasks:
•
Prepare, create agenda and lead PTA meetings
•
Manage overall objectives and strategies of PTA
•
Act as liaison between parents and
principal/staff
•
Speak at Back to School Night and other events
•
Attend monthly PTA Council Meetings
•
Helping executive activities as needed
•
Review the treasurer’s report
•
Have regular check-in meetings with the
principal

Thank volunteers for their efforts
Typical Annual Tasks:
•
Finalize the activities calendar with the
principal
•
Set the schedule of monthly executive board
meetings for the year

Hold a committee chair orientation

Update the signature cards at your PTA’s bank
•
Double-check key organizational dates, including
your PTA insurance policy renewal, incorporation with the state, and IRS Form
990 or 990-EZ, if applicable

Determine which officer and committee chair
positions might need to be filled next year, and reach out for volunteers with
the help from the Nominating Committee

VICE PRESIDENT
Characteristics:

and act as a liaison between committee chair people and the executive board

TREASURER "Keep our money straight”
This is a great position for someone who is
organized or needs a position that can mostly be done in spare time (baby nap
times, evenings or weekends). "

Use quick books (or similar system) to track
checks, deposits, and expenses.

prepare a monthly report for the PTA board on
the budget status

pay invoices and reimbursements as needed during
the year. (You can plan this around your schedule - such as set one time a week
to write checks and mail them.)

the VA PTA so that we are prepared for the annual audit each year.
SECRETARY
The PTA Secretary is responsible for
attending all PTA Board meetings and record the minutes of all meetings of the
association. They must keep the official copy of the local unit’s bylaws in
his/her files. They shall maintain a membership list as required by VA PTA and
perform other delegated duties as assigned.
COMMITTEES AND
COORDINATORS
Advocacy:
Responsible for attending Hanover County Council of PTAs meetings and
School Board meetings, and for disseminating and sharing pertinent student and
school advocacy information to the Hanover community.
After School Enrichment:
Responsible for
planning and implementing our After School Enrichment Programs throughout the
school year.
Box Tops: This
individual will assist with collecting Box Tops throughout the school year (4
collections times). He/She will communicate with teachers and recruit parent
volunteers to assist with counting boxtops.
Community Connections: Responsible for coordinating fundraising
through corporation partnerships such as Labels for Education, Tyson’s A+
program, Coke Rewards, Kroger Plus card, and Food Lion MVP cards.
Copy parent: Responsible for copying items for teachers.
Data Entry: Responsible for
entering membership and volunteer contact information into our excel database.
Fitness and Wellness Night: Coordinate local fitness vendors to come in
and showcase what they can offer kids and parents.
Library Media Center Support Committee: Schedules the daily volunteers who shelve
students' returned library books in the KCES Library Media Center. This committee assists Mrs. Eads (KCES
Librarian) with the Fall and Spring Book Fairs by setting up and scheduling
volunteers to help during the Book Fairs.
The committee also works closely with the KCES librarian throughout the
year to support the KCES library program by assisting and coordinating
volunteers for other various library projects as needed.
Give Back Night Coordinator: This
individual plans and schedules two fun evening a year for Kersey Creek families
to attend free of charge (e.g. movie night; school dance; spring picnic).
GROW (Growing R Outdoor Wisdom)
1.
Maintenance:
In charge of over maintenance of the garden. This includes mowing and weeding throughout
the year.
2.
Garden Director: Garden will be
headed up by this individual. This person will make sure things are
running smoothly.
Organize 1x a month volunteer to help
maintain the garden. Organize an end of the year party for volunteers.
Organize a Garden Party at the
beginning of the school year in September.

Lesson Reviewer -
Person will be responsible for reviewing all the lessons K-3 and making sure
they correspond with current learning in the classroom. This person
will be responsible for reporting back into the Garden Director and Mrs.
Mullens.
·
Garden
Coordinators for each grade level (kindergarten -3rd). This person is
responsible for reminding the teachers and volunteers that the lesson is coming
up. Remind them the supplies will now be located in the PTA Closet.
Holiday Market
·
Vendor
·
Silent Auction – Responsible for running the
Silent Auction. Duties include securing donations, preparing & organizing
paperwork, decorating, collecting money and bid sheets, distributing items to
the highest bidders, reconciling auction proceeds, and sending thank-you notes
to donors.

Holiday Extras
Hospitality: This committee helps organize special events for students and appreciation events for the teachers. Current events that the hospitality group handles are: Staff Back to School Breakfast, New Student Spaghetti Dinner, Teacher Snacks for Parent Teacher Conferences (Fall and Spring), Winter Soup Luncheon, Staff Appreciation Luncheon in the Spring, and refreshments for May Kindergarten Orientation and Winter DARE Graduation. Membership: Responsible for managing KCES PTA membership. Duties include collecting membership forms and payments, distributing packets of information to members which include membership cards, soliciting KCES PTA business memberships from local area businesses, and paying membership dues to Hanover County Council of PTAs, VA PTA, and National PTA. Program Coordinator: Coordinates the One School, One Book Program, Poem in Your Pocket Day and the -, arranges Theatre IV and other performances, and assists the Resource teachers with special events and programs.
Reflections: Responsible for implementing the National PTA
Reflections Art Program at KCES. Duties include communicating and publicizing
program information to teachers, students, and parents; securing judges; collecting
student entries; sending winning entries to County Level for further judging;
and planning the Reflections awards ceremony for all participating students.
Room Parent Coordinator: Responsible for overseeing our Room Parents throughout the school year, coordinating Staff Appreciation Week, and serving as a communication channel between KCES PTA and Room Parents.
Scholarships: Review scholarship form with Board and coordinate
with communications chair to promote, coordinate with Atlee/Hanover HS
counselors, lead scholarship committee for application review, and attends
scholarship award ceremonies.
School Beautification: Watering
the urns up front & adding seasonal color.
STEAM/Science Fair: Coordinates and facilitates the communication, criteria, and judging for
our annual science fair.
Social Media: Publicize
KCES PTA and school activities and events through Facebook and other social
media networks.
Spirit Night: Responsible for contacting businesses (e.g. Arby’s, Sweet Frog,
Ashland Skateland, Chipotle) and
scheduling spirit nights throughout the school year (typically one per month).
Spirit Wear: Responsible for overseeing the selection, marketing, selling,
and distribution of KCES clothing and other spirit items.
Supply Kits: Each year
the PTA partners with a school kit supplier to sell supply kits in May that
will be delivered directly to the school for the upcoming year's Open House.
These supply kits are tailored to exactly what children will need. Each kit
will come personalized with the child's name and grade, and will contain many
name brand supplies as well as bonus items such as money from home envelopes
and personalized labels. The PTA also make available extra items such as
backpacks, food jars, lunch bags and water bottles that parents can add to
their base supply kit if they choose to do so. The chairperson coordinates
Supply Kit orders in the Spring -- as well as facilitates fulfillment at August
Open House.
Teacher Dinner Night:
Organize a night in the February for teachers and students to have dinner at KCES.
Teacher Grant Coordinator: This individual will work with
Mrs. Mullens to email the teachers regarding the grant proposals. Once grants
are turned in this individual will sort, review, and present the grant
applications to the board.
Volunteer Coordinator: Responsible for creating a volunteer database
of parent volunteers as well as volunteers from the surrounding community, and
for securing those volunteers for school events and activities throughout the
school year via Sign Up Genius.
Watch D.O.G.S.: The Watch D.O.G.S. (Dads of Great
Students). ‘Top DOG’ manages and coordinates father and father figures who
volunteer their time at least one day per year in a variety of school
activities.
Webmaster: Create
and maintain the
KCES PTA website.
